About iGotYourShiftCovered

iGotYourShiftCovered is an emergency shift coverage platform designed to help employees quickly find qualified coworkers to cover scheduled work shifts during emergencies while allowing supervisors to approve or deny coverage requests.

Information We Collect

iGotYourShiftCovered collects only the information necessary to create user accounts, facilitate emergency shift coverage, manage subscriptions, and provide platform services.

Personal Information

To create an account, users are required to provide:

• Full name
• Job title
• Department or work area/unit
• Employer or organization name
• Mobile phone number
• Email address
• Username
• Password (minimum of 12 mixed characters)
• Employee group assignment

Users may also choose to upload an optional profile photo.

Information We Do Not Collect

To protect user privacy and minimize the collection of sensitive information, iGotYourShiftCovered does not request, collect, store, process, or require any of the following:

Personal Identifying Information (PII)

• Social Security Number (SSN)
• Date of Birth
• Driver's License Number
• Passport Number
• Government-issued identification numbers
• Tax Identification Number (TIN)
• Immigration or citizenship information
• Bank account numbers
• Routing numbers
• Payroll information
• Credit or debit card numbers (all payments are processed securely by third-party payment providers)
• Biometric identifiers, including fingerprints, facial recognition data, retinal scans, or voiceprints

Protected Health Information (PHI)

iGotYourShiftCovered is not designed to collect or store Protected Health Information (PHI). Users must never enter or upload:

• Patient names
• Medical Record Numbers (MRNs)
• Dates of birth
• Patient addresses
• Patient phone numbers
• Social Security Numbers
• Health insurance information
• Diagnoses
• Treatment plans
• Medication information
• Laboratory or diagnostic results
• Clinical notes
• Photographs of patients
• Any information protected under applicable privacy laws, including the Health Insurance Portability and Accountability Act (HIPAA)

Confidential Employment Information

The platform is not intended to collect or store confidential employment records, including:

• Personnel file information
• Performance evaluations
• Salary or wage information
• Disciplinary records
• Background check information
• Drug screening results
• Workers' compensation claims
• Leave of absence documentation
• Medical accommodation records

User Responsibility

Users are solely responsible for ensuring that no sensitive personal information, confidential employment information, or Protected Health Information (PHI) is entered into shift requests, comments, messages, file uploads, or any other content submitted through iGotYourShiftCovered.

Any information submitted should relate only to shift coverage, scheduling, availability, or other work-related communication necessary to facilitate emergency staffing.

Removal of Prohibited Information

If iGotYourShiftCovered becomes aware that prohibited information has been submitted, we reserve the right to:

• Remove or redact the information without notice;
• Restrict or suspend user access while the matter is reviewed;
• Terminate accounts for repeated or intentional violations; and
• Notify the applicable employer or organization when necessary to protect privacy, maintain security, or comply with applicable laws.

HIPAA and Privacy Compliance

iGotYourShiftCovered is a workforce communication and emergency shift coverage platform. It is not an electronic medical record (EMR), electronic health record (EHR), human resources information system (HRIS), or personnel record management system.

The platform is designed to minimize the collection of personal information and does not require users to provide Social Security Numbers, dates of birth, Medical Record Numbers, patient information, or other sensitive personal identifiers.

Users are strictly prohibited from entering patient names, Medical Record Numbers (MRNs), dates of birth, Social Security Numbers, diagnoses, treatment information, or any other Protected Health Information (PHI) or personally identifiable information (PII) into iGotYourShiftCovered.

The sole purpose of the platform is to facilitate emergency shift coverage, supervisor approval workflows, and staffing communication. Any misuse of the platform to store or transmit confidential employee or patient information may result in account suspension or termination and may be reported to the user's employer when appropriate.

PCI DSS and Payment Security

iGotYourShiftCovered does not directly process, transmit, or store payment card data on its own systems. All payment transactions — including subscriptions and donations — are handled exclusively by our third-party payment providers through secure, hosted checkout pages that comply with the Payment Card Industry Data Security Standard (PCI DSS).

Because payment card numbers and other cardholder data are collected and processed solely by these certified third-party providers, iGotYourShiftCovered never sees, stores, or retains full credit or debit card numbers on its servers. Users must never enter payment card details, bank account numbers, or other financial credentials into shift requests, comments, messages, or any platform field outside of the official hosted checkout flow. Any such information submitted outside the checkout process may be redacted or removed without notice to protect user security and maintain PCI DSS compliance.
